Completing Verification Backlog Due to New Requirements
Historically Galen College of Nursing had a very small number of files selected for verification. However, new identity verification requirements changed in June 2025, resulting in over 1,000 verification records to process. Theresa Eiler, Director of Financial Aid at Galen, knew the understaffed office could not process the files in a timely manner and contacted Blue Icon for interim staffing assistance.
Blue Icon provided a team of five consultants working up to 120 hours per week to complete federal verification for selected students. Consultants worked in the Regent system, identifying conflicting or incomplete records, and updating records to complete the verification process. Even though the consultants were not able to gain access to Department of Education (ED) systems to upload verification results due to delays with ED, Eiler reported, “There would have been a larger disruption without the consultants.”
“In hindsight, Galen would NEVER have been able to do this on their own,” Eiler said. The consultants understood verification, quickly adapted to Galen’s processes, and took ownership of the work. “More records were coming in as verifications were completed, so we couldn't make progress due to the record volume of new selections and needed the experts to catch up.”
